Auction Administrator

About Theodore Bruce Auctions
We are an auction house in Alexandria, running approximately five auctions a month, in-house and online. We process on average, 3000 lots a month and manage multiple consignments at a time, which requires a thorough monitoring of stock consignment agreements, and constant contact with both vendors and department specialists. Our auctions consist of antiques, retro and collectables, Asian and tribal art, unclaimed Australia Post, memorabilia and more. Our team is made up of specialists, cataloguers and auction staff, and now we are seeking a dedicated Administrator to join us.
Job Description
We are looking for an experienced and extremely organised auction Administrator to work with our Department Specialists onsite in Alexandria, Sydney. The candidate will need to have an outstanding work ethic, ability to work well juggling administrative duties across multiple sales, vendors and departments, and a commitment to getting the job done thoroughly and in a timely fashion.
Main duties include:
– Assisting Specialists in coordinating and overseeing incoming stock under the categories:
Antiques & Collectables, Aboriginal & Oceanic Art, Art, Jewellery, Asian, Military, Vintage Cars & more
– Co-ordinating and monitoring vendor consignments, liaising with vendors regarding items such as permission for sale, information requests, estimate approvals
– Liaising with the Floor Manager on in-coming stock, consignment order, consignment destination, and catalogue content
– Liaising with Specialists and Floor Manager in coordinating catalogue and advertising content, preparing advertising literature and catalogue content for designer
– Maintain an organised and easy-to-follow physical and digital filing system for consignment and sale room paperwork
– Carry out administrative duties on auction weekends including:
Preparing office for auctions, ensuring forms and catalogues are prepared, bidder and bid registration, answering phones, preparing paperwork for auctioneer, assisting clients with offers
– Organise stock awaiting return to owner, re-offered and donated
Key responsibilities:
Monitoring inventory and consignments, ensuring consignments are signed and stock is approved for sale
Carrying-out general administration for all department Specialists, liaising with clients regarding stock
Liaising with Floor Manager in maintaining efficient processing of stock
Experience working in an administrative role
Full working knowledge of Microsoft Office programs and Photoshop
Organisational, customer service and interpersonal skills
